Privacy Policy
Last updated: 16 October 2026
This policy explains what personal data PropertiesOS handles and why. In short: we use your data only to run the CRM for your business, we never sell it, and the mobile app uses location, camera, photos and notifications only when you choose those features.
1. Who we are and what this covers
PropertiesOS ("we", "us") provides a CRM for real estate businesses: the web application at https://propertiesos.in and the PropertiesOS mobile app for Android and iOS (together, the "Service"). Our address is HSR Layout, Bengaluru, Karnataka, India.
This policy explains what personal data we collect, why, who we share it with, and the choices you have. It applies to the people who sign up for and use the Service (owners, managers and agents of a workspace) and to visitors of our website.
2. Our role for your customers’ data
A real estate business ("Customer") creates a workspace and adds its own records to it, such as leads, buyers, property owners and their contact details. For that data the Customer decides what is collected and why, and is the Data Fiduciary under India’s Digital Personal Data Protection Act, 2023 ("DPDP Act"). We process it only on the Customer’s behalf, to run the Service.
If you are a lead or client of a business that uses PropertiesOS and want to access, correct or delete your data, please contact that business first. If you cannot reach them, write to contact@propertiesos.com and we will help route your request.
3. Data we collect
Account data. Name, email address, phone number, role, workspace name, and your password, which we store only as a one-way hash.
Workspace content. What you and your team enter into the Service: leads and their contact details, budgets and requirements, notes, call and visit logs, follow-ups, properties and photos, commissions, and targets.
Messages. If your workspace connects WhatsApp, the messages sent and received with leads through that integration.
Billing data. Plan, invoices and payment status. Card and bank details are entered with our payment processor and are never stored by us.
Mobile app data, each used only when you choose the related feature:
- Location (only while the app is open). Used to show properties near you. The coordinates are sent with that search and are not stored as a location history.
- Camera and photos. When an owner or manager adds a property, the camera or photo picker opens and only the photos you choose are resized on your phone and uploaded as listing images. We do not browse your photo library.
- Clipboard. Read only when you tap "Paste" in quick add, to fill a lead from a copied enquiry.
- Push notification token. A device identifier from Apple or Google, plus the platform (Android or iOS), so we can send you notifications. It is deleted when you sign out.
Technical data. IP address, browser or device type, and error reports, used to keep the Service secure and to fix crashes.
4. How we use data
- To provide the Service: sign you in, show your workspace, and sync it between web and mobile.
- To send notifications you asked for, such as new leads, assignments, follow-up reminders and approvals.
- To bill your subscription and send service emails such as receipts and security alerts.
- To secure the Service, prevent abuse, and diagnose errors.
- To answer your support requests.
6. How long we keep data
We keep workspace data while the workspace has an active subscription or trial.
When a subscription is cancelled, the data stays available for 30 days so it can be restored or exported. After that the workspace is archived: its contact details are removed and its leads and properties are marked deleted and can no longer be accessed by anyone in the workspace.
To have archived data permanently erased, email contact@propertiesos.com (see "Your rights and choices"). We may keep billing records for longer when the law requires it.
7. Security
Data is sent over encrypted connections (HTTPS). Passwords are hashed, and each workspace’s data is kept separate from other workspaces. Inside a workspace, agents see only the leads assigned to them unless an owner grants wider access. No system is perfectly secure; if we learn of a breach affecting your data, we will notify you and the authorities as the law requires.
8. Your rights and choices
Under the DPDP Act you can ask to access, correct, update or erase your personal data, withdraw consent, and nominate someone to exercise these rights for you.
- Permissions. You can turn location, camera, photos and notifications on or off at any time in your phone’s settings. The rest of the app keeps working without them.
- Deleting your account. Workspace owners can cancel the subscription and ask us to delete the workspace. Team members can ask their owner to remove them. Anyone can email contact@propertiesos.com from their registered email address with the subject "Delete my account". We confirm the request and complete it within 30 days, except for records we must keep by law.
9. Children
The Service is for businesses and is not meant for anyone under 18. We do not knowingly collect data from children.
10. Changes to this policy
We will post any change on this page and update the date above. If the change is significant, we will also notify workspace owners by email or in the app.
11. Contact and grievances
